Workplace Updates & HR Navigation
Navigating email signature updates, preferred name systems, pronouns, and communicating changes with dignity and ease.
Navigating identity updates with ease
Whether you are stepping into a new identity, changing your surname after marriage, updating your email display name, or adding pronouns to your corporate directory, communicating personal updates at work should be smooth, dignified, and uncomplicated.
Many women worry that bringing administrative updates to Human Resources or their immediate manager will create awkwardness or disrupt team dynamics. In reality, most modern organisations have standardised HR procedures for updating system credentials, building access badges, and communication platforms.
The difference between legal name and display name
Most corporate IT systems distinguish between two distinct data fields:
- Payroll & Legal Identity: Connected to your tax file number (TFN/NI/SSN), pension/superannuation, and banking. This must match your current government identity documents until any legal paperwork is completed.
- Display Name & Preferred Identity: Used for Slack/Teams, email addresses, Zoom profiles, company directories, and client-facing signatures. In the vast majority of companies, your display name can be updated immediately upon request without requiring legal documentation.
Normalising pronouns in email signatures
Adding pronouns (she/her) to your email signature and LinkedIn profile is now standard professional practice across global industries. It removes guesswork for external clients, normalises inclusive communication for all colleagues, and saves awkward email exchanges before virtual meetings.
A clean, polished format:

Handling missteps with grace
If a colleague accidentally uses an outdated name or pronoun in conversation:
- Keep it brief and neutral: You do not need to make a big speech. A gentle, single-word correction (βElenaβ or βsheβ with a pleasant smile) is usually all that is needed.
- Move the conversation forward: After the gentle correction, continue speaking about the project topic without dwelling on the slip. Most people appreciate the quick, low-stress correction and will mirror your ease.
Your identity in the workplace is worthy of respect, clarity, and peace.
